Privacy Policy

The Gracelyn Center for Excellence in Education (“we,” “us,” or “our”), a division of Gracelyn University, respects your privacy. This Privacy Policy explains what information we collect, how we use and share it, and the choices you have. It applies to the platform at excellence.gracelyn.edu and related communications.

1. Information We Collect

We collect information you provide and information generated as you use the platform:

  • Account information: your name, email address, phone number, role/audience type, and password (stored only as a secure hash).
  • Payment information: billing details and transaction records. Full card numbers are handled by our payment processors, not stored on our servers.
  • Course activity: enrollments, submissions and written work, grades and feedback, progress, discussion posts, community messages, badges, and certificates.
  • Communications: coaching messages, support requests, and your email/SMS preferences and consent records.
  • Technical & usage data: device and browser information, IP address, pages viewed, and analytics events used to operate and improve the service.

2. How We Use Your Information

  • Deliver courses, grading, coaching, certificates, and community features.
  • Process payments, subscriptions, refunds, and ambassador referral commissions.
  • Send account, course, and coaching notifications by email and SMS.
  • Provide customer support and maintain safety and moderation.
  • Analyze usage to improve the platform, and, where you have not opted out, send marketing about relevant offerings.

We do not sell your personal information.

3. Artificial Intelligence Processing

Your learning experience is AI-powered. Submissions you make are processed by AI instructors to produce grades and feedback; an AI success coach uses your profile and activity to generate guidance and recommendations; and AI personas participate in community discussions. To provide these features, relevant content (such as your submission text) is sent to our AI provider for processing. AI outputs are automated and may contain errors; you may request human review of a grade or response through support.

4. Third-Party Service Providers

We share information with vendors who process it on our behalf, only as needed to provide the service:

  • Stripe and PayPal, payment processing.
  • Anthropic (Claude), AI grading, coaching, and content generation.
  • HeyGen, avatar/instructional video generation.
  • GoHighLevel (Twilio-powered), SMS delivery; and our email providers for transactional and marketing email.

These providers are bound to protect your information and use it only for the services they provide to us.

5. Text Messaging (SMS)

With your consent at registration, we send educational and account notifications by SMS, such as enrollment confirmations, deadline reminders, and coaching check-ins. Message frequency varies, and message & data rates may apply. You can opt out at any time by replying STOP to any message, or reply HELP for help.

We do not sell your personal information, and we do not share mobile phone numbers or SMS consent with any third parties for their own marketing purposes. Your mobile information is used only to deliver the messages you have opted into, through our messaging provider.

6. Cookies & Tracking

We use cookies and similar technologies to keep you signed in, remember preferences, and measure how the platform is used. We also use retargeting tags, a Gracelyn Center for Excellence-specific Meta (Facebook) Pixel and Google Ads tag, to measure advertising and show relevant ads. These are separate from Gracelyn University’s main-site tags. You can control cookies through your browser settings and opt out of interest-based ads through the relevant ad platforms.

7. Data Retention

We retain your information for as long as your account is active and as needed to provide the service, comply with legal and financial obligations, resolve disputes, and enforce our agreements. When you request deletion, we anonymize or remove your personal information within a reasonable period, except where retention is required by law.

8. FERPA, COPPA & GDPR

FERPA: where we act as a school official or service provider to an educational institution, we handle education records consistent with the Family Educational Rights and Privacy Act and our agreements with that institution.

COPPA: the platform is intended for adult educators and is not directed to children under 13. We do not knowingly collect personal information from children under 13; if we learn we have, we will delete it.

GDPR: if you are in the European Economic Area or the UK, you have rights to access, correct, delete, restrict, or object to processing of your personal data, and to data portability. We process your data under lawful bases including performance of our contract with you, your consent, and our legitimate interests.

9. Your Rights & Choices

  • Access: request a copy of the personal information we hold about you.
  • Deletion: request that we delete your personal information.
  • Communication preferences: opt out of marketing email via the unsubscribe link, and opt out of SMS by replying STOP.
